Edventur – Cancellation, Refund & Parent Consent Policy

At Edventur, we are committed to offering safe, enriching, and high-quality educational travel experiences. Our policies are designed to be transparent, fair, and in alignment with both academic goals and responsible travel planning. The following outlines our Cancellation & Refund Policy as well as Parent/Guardian Consent Terms for all domestic and international educational programs

1. Cancellation & Refund Policy

A. International Educational Tour Programs

Cancellation by a Participant
 Cancellations must be submitted in writing via email to Edventur’s official email ID(info@edventur.in). The refund will be processed within 30 days of receiving the cancellation request. Refunds are calculated based on the number of days before the tour’s scheduled departure:

  • 120+ days prior to departure: Full refund after deducting a non-refundable fee of ₹50,000.

  • 119–90 days prior to departure: Refund after deduction of ₹51,000 (non-refundable) and ₹30,000 as cancellation fee.

  • 89–30 days prior to departure: Refund after deduction of ₹51,000 and 50% of the program fee.

  • 29–0 days prior to departure: No refund applicable.

Cancellation by Edventur
 Edventur reserves the right to cancel a tour if minimum participation requirements are not met or in the case of unforeseen events such as natural disasters, political unrest, public health hazards, strikes, or any event that may compromise participant safety. In such situations, participants may be offered:

  • A program voucher (excluding ₹50,000 non-refundable fee and visa/insurance charges), or

  • A rescheduled journey (additional charges may apply).

Participants may also be removed from the tour in case of disciplinary issues, misconduct, or actions resulting in harm or damage. No refund or compensation will be provided in such cases, and parents will be responsible for repatriation costs.

B. Domestic Educational Tour Programs

Cancellation by a Participant
 Cancellations must be submitted in writing via email. Refunds will be processed within 30 days based on the cancellation timeline:

  • 30+ days prior to departure: ₹2,000 will be deducted.

  • 29–15 days prior to departure: 50% of the program fee will be deducted.

  • 14–0 days prior to departure: No refund applicable.

Cancellation by Edventur
 In the event of cancellation due to low participation or unavoidable circumstances, participants will be offered a journey voucher equivalent to the fee paid (excluding any non-recoverable charges such as train/flight tickets or permits).

Edventur reserves the right to expel participants for disruptive behavior, substance use, or any actions that compromise the safety or experience of others. Parents will bear all expenses related to return travel or damages.

2. Parent/Guardian Consent

All bookings for minors must be made by a parent or legal guardian. By confirming a booking, the parent/guardian agrees to the following:

  • I have read and understood the cancellation policy, payment terms, and risks associated with outdoor/international travel.

  • I confirm that I have disclosed all relevant medical conditions of my child/ward, including heart conditions, epilepsy, or allergies.

  • I agree that my child/ward will comply with all rules, instructions, and behavioral expectations as outlined by Edventur staff and mentors.

  • I understand that any violation (including the use of alcohol, tobacco, or drugs) may result in my child’s immediate dismissal from the program at my own expense.

  • I accept responsibility for any personal expenses or property damage caused by my child during the trip.

  • I authorize Edventur to seek necessary medical attention for my child if required. Any medical costs or transport expenses not covered by insurance will be borne by me.

  • I will not hold Edventur or its affiliates liable for any personal injury, loss, or damages arising during the program, except where caused by proven negligence.

  • I grant permission to Edventur to use photographs, videos, or quotes of my child/ward for marketing and documentation purposes.

  • I understand that this agreement is governed by the laws of India, and any legal disputes shall be subject to the jurisdiction of the courts in Hyderabad.
